Policies
To establish specific guidelines when ordering food and beverages for meetings and special events.
Food and beverages required for meetings and special events should be ordered through web based program “CaterTrax” with appropriate Vice President or their designee approval.
The “CaterTrax” program is accessed via the web.
The food and beverage order will be required to be placed one week in advance. The order will prompt you to include specific needs, i.e. water, meal count, menu and type of service.
When placing the order you can order reoccurring events, the program will prompt you when setting up the event.
If specific items are not in CaterTrax, i.e., Retirement Cake or Medical Staff Dinner; special accommodations can be made with the Catering Manager at ext 5701 or Chef ext 5752.
The department requesting the service must update the order with a guaranteed guest count on (1) week prior to the function. Cost of the function will be based on the guaranteed number.

Total costs of functions will be charged to each department’s budget on a monthly basis by the accounting department. Nutritional Services will submit this cost to the Accounting Department for the allocation.
When scheduling a room for a special function, set-up time must be considered for the Food and Nutrition Services and Environmental Services Departments to prepare the area. Please coordinate room reservations with the Education Department ext 5722 or Volunteer Office ext 5042, two (2) weeks in advance for room set up arrangements.
Food and Nutrition Services for non-hospital functions being held at Bassett Medical Center will be available upon special request. Please call Catering Manager at ext 5107 or Chef at ext 5752. These functions must be pre-paid and are subject to New York State Sales Tax. All room reservations should be made through Education Department or Volunteer Office.
